Job Description

NOTE:  This job can be done remotely from anywhere, but expected work hours are PST 9am - 6pm

Position Overview:

 Project Coordinator is responsible for providing support to the project managers and helping manage the full project lifecycle with supervision and guidance. This role reports to the Senior Manager of Operations and is an integral part of Questel’s Language Solutions Team.

Principal Duties & Responsibilities:

  • Assist operations team with launching new projects
  • Initiate tasks for rush requests
  • Preprocess files before delivery to translator, ensuring that translator receives complete, organized files
  • Conduct post-production quality assurance checks, and clearly communicates any issues to project managers
  • Source translation teams, administers tasks, and monitors progress on behalf of the Project Manager
  • Prepare final delivery packages
  • Maintain accurate, up-to-date project records
  • Collaborate with operations team to ensure client specifications are met
  • Manage project resources
  • Support operations team with other tasks, as needed (such as importing/exporting files)
  • Monitor assigned projects to ensure all projects have been accepted by vendors
  • Monitor group inbox and assigns emails to appropriate personnel
  • Report unaccepted/unassigned projects to the department’s manager
  • Assist with feasibility requests
  • Manage projects end to end that meet or exceed client requirements
  • Work on special projects and other duties as assigned by management

Education and Experience:

Bachelor’s degree required.  Professional project management experience, or any combination of education, experience and training which provides the following knowledge, skills, and abilities:

  • Excellent analytical, organizational, written, and verbal communication skills
  • Highly developed interpersonal skills
  • Ability to stay on task with minimal supervision and regularly report on progress on an individual and team basis
  • Ability to effectively multi-task in stressful situations
  • Detail-oriented, organized, thorough, accurate, and willingness to take initiative and complete assignments
  • Able to successfully handle frequent change, delays, and interruptions
  • Demonstrated initiative, persistence, ability to problem solve, and enthusiasm for learning
  • Strong analytical, troubleshooting, problem solving, and decision-making abilities
  • Participate in a culture of responsiveness to strengthen relationships and ensure the needs and time of others are met and respected
  • Fluent in English
  • Fluency in a second language, other than English is preferred, but not required
